This Policy explains how Kynthellos collects, uses, stores, and protects information shared through our website and procurement engagements. We handle all information with discretion appropriate to a B2B engineering context.

Kynthellos ('we', 'us', 'our') is an engineering procurement and supply company based in Bengaluru, Karnataka, India. We provide industrial component sourcing, custom manufacturing coordination, and MRO supply services to business clients.

This Privacy Policy explains how we collect, use, store, and protect information that you provide to us through our website (kynthellos.com), inquiry submissions, procurement communications, and any other interaction with our business.

a) Contact and Inquiry Information: When you submit an inquiry, RFQ, or contact form on our website, we collect your name, designation, company name, business email address, phone number, and the details of your requirement.

b) Procurement Documentation: When you engage us for supply or custom manufacturing, we may receive technical documents such as engineering drawings, material specifications, bill of materials, and purchase orders. These are treated as confidential business information, not personal data.

c) Correspondence Records: Emails, written communications, and project correspondence exchanged during the course of a business engagement are retained as part of our operational records.

d) Website Usage Information: When you visit our website, standard web server logs may record your IP address, browser type, referring URL, pages visited, and time of visit. This information is collected automatically and is used solely for website administration and analytics purposes.

e) GeM Portal Data: If you engage with us through the Government e-Marketplace (GeM), the information handled through that platform is subject to GeM's own privacy framework and the data practices of the Government of India's digital infrastructure.

3. How We Use the Information

We use the information we collect strictly for legitimate business and operational purposes:

a) To respond to your inquiries, prepare quotations, and manage procurement engagements.

b) To process and fulfil orders for standard supply, sourced components, or custom manufactured products.

c) To communicate with you regarding order status, delivery timelines, technical clarifications, or changes to your requirements.

d) To maintain accurate business records as required for invoicing, taxation (including GST), and compliance with applicable Indian law.

e) To improve the content and functionality of our website based on aggregated, non-identifiable usage data.

We do not use your information for unsolicited marketing, automated profiling, or sale to third parties for commercial purposes.

4. Sharing of Information

Kynthellos does not sell, rent, or trade your personal or business information to any third party.

We may share information with the following categories of parties strictly on a need-to-know basis:

a) Manufacturing Partners: Technical specifications and drawings provided for custom orders are shared with our manufacturing partners solely for the purpose of producing the requested product. These partners are engaged under confidentiality obligations.

b) Logistics and Freight Partners: Delivery address, contact information, and order details may be shared with logistics and courier partners to facilitate delivery.

c) Legal and Regulatory Authorities: We may disclose information to government authorities, courts, or regulators where required by applicable law or pursuant to a lawful order.

d) Professional Advisors: Information may be shared with legal, accounting, or auditing professionals engaged by Kynthellos in the course of our normal business operations, subject to professional confidentiality obligations.

e) GeM Platform: For orders processed through the GeM portal, information is shared with and processed by the GeM platform infrastructure operated by the Government of India.

5. Technical & Commercial Documentation

Technical drawings, CAD files, design specifications, material data sheets, and similar documentation submitted to Kynthellos by clients for sourcing or manufacturing purposes are treated as strictly confidential commercial information.

Such documentation is used exclusively for evaluating and fulfilling the specific requirement for which it was provided. It will not be reproduced, shared beyond the immediate supply chain necessary for fulfilment, or retained beyond the operational requirement without your explicit consent.

Kynthellos maintains internal access controls to ensure that technical documentation is accessible only to personnel directly involved in the relevant procurement or manufacturing project.

6. Data Retention

We retain business correspondence and procurement records for a minimum of seven (7) years from the date of the relevant transaction, in line with standard commercial and tax record-keeping requirements under Indian law.

Website inquiry submissions and contact form data are retained for as long as necessary to respond to the inquiry and for a reasonable period thereafter for our records.

Technical documentation provided for custom manufacturing projects is retained for the duration of the project and for a reasonable period following delivery for warranty and reference purposes, after which it is securely deleted unless you request otherwise.

You may request deletion of your personal contact information from our records by contacting us directly, subject to our obligations to retain records under applicable law.

7. Data Security

Kynthellos implements reasonable administrative and technical measures to protect information in our custody from unauthorised access, disclosure, alteration, or destruction.

Sensitive technical and commercial documentation is stored in access-controlled environments. Access to procurement correspondence and client files is restricted to authorised personnel on a need-to-know basis.

Our website uses HTTPS encryption for data in transit. We recommend that you do not transmit highly sensitive technical data through general contact forms; for sensitive documentation, please request a secure file transfer method before submitting.

While we take reasonable steps to protect your information, no data transmission or storage system is completely secure. We cannot guarantee absolute security and are not liable for any unauthorised access beyond our reasonable control.
